APPENDIX B Entries for competitions 1.

GENERAL

a) The entrants for any Portfolio or Competition must be paid up members of the Whitby Club Photographic Society.
b) For all images entered in any Portfolio, Competition or Annual Competition, the original exposure must be the work of the author (the author must have taken the image/s).
c) Trade processing of films (negative and slide films) is allowed.
d) Trade printing of prints is allowed, however, print mounting must be the work of the author. All print entries must be mounted and you must write the title of the print on the back of the mount. Depending on which portfolio /competition you are entering you must also write your name or Member’s Competition Number on the back of the mount.
e) Trade mounting of slides is allowed, however, any masking must be the work of the author. Slides must be in 2” x 2” mounts (preferably glass mounted). All slides must have been taken in camera using slide film (ie digital images converted to slides are not allowed in a slide competition).
All slide entries must have the title and your name or Member’s Competition Number on the slide mount.
To indicate the correct position for projection each slide must be marked with a coloured spot located on the bottom left hand corner when viewed directly. Appendix A gives further details.
f) Digital images are welcome in portfolios and competitions, provided the author carried out all manipulation, and the author took the original exposure/s. The author must have the full copyright of all elements of the image at their disposal. Images constructed from so called royalty free and copyright free images to which nobody owns the copyright are not acceptable.
g) Digital projected images must be in jpeg format with maximum 1400 pixels wide by 1050 pixels high. Colour space should be sRGB.
h) A monochrome image must comprise wholly a monochromatic image. It may be singly toned in a single tone colour to the entire image. Monochrome images which have one or more added colours/dyes must be entered in a Colour section.
A monochrome image which meets the above definition is NOT ALLOWED in a Colour competition.


2. DESIGNATION OF NOVICE WORKER AND ADVANCED WORKER

a) Novice workers are normally relatively inexperienced newcomers to photography.
They will not have sufficient experience in Club Competitions and will not have gained the required number of points for promotion to Advanced worker (see section 2c)

b) Some new members may be experienced by virtue of membership of a previous Club or by academic training. In this case designation of the member as Novice or Advanced shall be decided by the Committee based on the knowledge of the member’s work/experience or previous record with other clubs etc. (This decision to be taken as soon as possible during the first season that any such person is a member of the society).

c) If a member is designated as a Novice then promotion to Advanced shall be by gaining a total of 20 (twenty) points in any Print or Digital Projected Image Competition or Portfolio which are awarded as follows:-

Competition Winner 4 points
Very Highly Commended 3 points
Highly Commended 2 points
Commended 1 point? Any award made to a Novice in an Open Competition + 2 points

Portfolio Box Winner 2 points
Portfolio Box - 2nd place 1 point
Portfolio Overall Winner 4 points
If a Novice is a Portfolio Overall Winner + 2 points
NB see 2.d) below.

Guidance Note:
For each Portfolio Box, 3 points are awarded. When there is an outright winner and an outright second, the points are awarded as above ie 2 points for the winner and 1 point for the second. However, sometimes there are joint winners and / or joint seconds.
Eg. If two members are joint winners, they share the three points and receive 1 ½ points each. There is no second place.
If there is an outright winner and two joint seconds, the winner receives 2 points and each joint second receives ½ point.

d) Points gained in any Slide competition or Slide Portfolio do NOT count for promotion to Advanced worker (but do count towards Photographer of the Year. See 6) below).

e) Promotion from Novice worker to Advanced worker will take effect from the date of the AGM for the season in which the worker attained the required number of points (20 or more)

f) A register of the points awarded will be kept by the Competition Secretary. The register for each Novice member will be maintained and updated every season until the Novice is promoted to Advanced.

3. PORTFOLIOS

Four separate portfolios for Monochrome Prints, Colour Prints, Colour Slides and Projected Digital Images are normally organised. There must be a minimum of 6 participants in a portfolio. The general rules for Prints, Slides and Digital Projected Images as outlined in Section 1 (General) apply to entries to Portfolios.
Each Portfolio will normally consist of up to 6 “boxes” (may be changed by the Committee). Participants submit one entry per Box. Prints may be any size up to A4 (210 x 297mm) and must be mounted on a mount with a maximum size of A4. Write your name on the back of the mount. Write your name on slide mounts. An entry will not be accepted if it has previously been entered in to any Whitby Club (Shell) Photographic Society Portfolio, Competition or Annual Competition. Please see Appendix B for information on eligible entries.

At the beginning of each season the closing dates for entries to each Box will be announced.

Entries will be scored by all other members who have submitted a print or slide or Digital Image to that Box. Marks will be awarded up to a maximum of 10 (ten) points (Entrants do not mark their own entry).

The winner of each Box will be the participant with the highest total number of points. The overall winner of each Portfolio will be the participant with the highest total number of points for the whole of the season in that Portfolio.

Each Portfolio has a trophy for the winner. The trophies are presented at the Society’s Annual Exhibition or at the first meeting of the following season.



4. COMPETITIONS

The general rules for Prints and Digital images as outlined in Section 1 (General) apply to entries to Competitions.

Three competitions are held;
-- Open Monochrome prints and Novice Monochrome prints.
-- Open Colour prints and Novice Colour prints.
-- Open Projected Digital images.
The maximum number of entries per member in each section is normally three, but these maximum numbers may be changed by the Committee. The Committee may add or delete sections if considered advantageous. The dates of the competitions and the hand in dates for entries are announced at the beginning of the season and are printed in the syllabus booklet. Competition sections shall be Novice or Open as decided by the Committee (NB Novice sections can only be entered by Novice Workers. Open sections can be entered by all members).

Specific rules may be applied to individual competitions / sections. These rules will be made known to all entrants before the hand in dates. In any section there must be a minimum of two entrants for any points to be awarded.

Prints may be of any size but must be on a mount which has one dimension of at least forty cm (40 cm), with a maximum mount size of 50cm by 40cm. The maximum sizes may be altered at the discretion of the Committee. There must be no tape of any description on the back of the mounts. Maximum mount thickness must not exceed 4mm. Backing boards (if used) must be the same size as the front mount.

Guidance Notes: The simplest way to mount a print is to stick it to a 50 x 40 cm mount board. However, some members like to use a front window mount. In this case a backing board must be used to give protection to the back of the print.
When mounted prints are stacked together and transported it is important that prints are not damaged by the mount above. This is the reason that no tape of any description is allowed on the back of the mounts. It is also the reason why backing boards should be the same size as the front mount.

The Committee reserve the right to withhold from competition any entry which does not conform to the competition rules. An entry will not be accepted if it has previously been entered in to any Whitby Club (Shell) Photographic Society Competition or Annual Competition. (An entry from a previous/current Portfolio is permitted.) Please see Appendix B for information on eligible entries.

The entries for the Competitions are normally judged by an external judge. The judge selects a Winner for each section and awards certificates based on Very Highly Commended, Highly Commended and Commended. On the competition evening, all print entries are displayed and all digital entries are projected, the judge makes comments and the awards are presented.

5. ANNUAL COMPETITION & ANNUAL EXHIBITION

The general rules for Prints, Slides and Digital images as outlined in Section 1 (General) and Section 4 (Competitions) also apply to entries to the Annual Competition.

The Annual Competition is held near the end of the season and consists of several separate sections for members for prints, slides and digital images in different categories (eg Open Subjects, People /Portraits, Natural History/Nature, Set Subjects).

Chosen “Set Subject” titles will be notified by the Chairman to the members at the previous season’s Annual General Meeting. (also see the Syllabus Booklet and the Society’s website).

In any section of the Annual Competition there must be a minimum of two entrants for any points to be awarded. However, section trophies may be awarded if there is only one entrant.

An entry will not be accepted if it has previously been entered in to any Whitby Club (Shell) Photographic Society Annual Competition. (An entry from a previous/current Competition or Portfolio is permitted). Please see Appendix B for information on eligible entries.

The entries for the Annual Competition are normally judged by an external judge or judges. They select a Winner for each section and award certificates based on Very Highly Commended, Highly Commended and Commended.

At the Annual Exhibition, following the judging, all print entries are displayed in the ballroom of the Whitby Sports and Social Club, the slide entries and digital entries are projected and the awards are presented.


The Trophies for the Annual Competition are as follows:-

5.1 NOVICE SECTION
a) Novice Mono Print Trophy
Any subject. Up to four prints per novice worker.

b) Novice Colour Print Trophy
Any subject. Up to four prints per novice worker.

5.2 OPEN SECTION PRINTS

Any subject. Up to four prints per worker.

People - Open Portrait Trophy
Up to four prints per worker.

This is an Open Competition for Monochrome and/or Colour Prints of people.
“People” is defined as follows; Formal or informal, single or group, human portraits or figure studies taken indoors or outdoors. Animal studies are not eligible. This is wider than just studio portraits, and may show people in all walks of life, doing a variety of things.

Open Natural History Print Trophy
The John Vaughan Natural History Print Trophy
Up to three prints per worker.

This is an Open competition for Monochrome and/or Colour Prints.
Nature photography covers images of birds, plants, animals, fungi etc provided they are not domesticated or cultivated. It also covers subjects such as weather and geology provided they are titled to show their significance in the natural world.
Any manipulation of the image is limited to minor re-touching of blemishes, exposure, sharpening etc and must not alter the content of the original image.
Titles must be specific and correct. Latin titles are not essential if the species can be accurately titled in English.

5.3 OPEN SECTION SLIDES?a) Open Slide Trophy

6. PHOTOGRAPHER OF THE YEAR (John Matthews Trophy)

This award is made to the member who gains the highest number of points in the current season. These are the points accrued from all those Portfolios, Competitions and sections of the Annual Competition that the member entered (see Section 2c for the number of points awarded).
The Competition Secretary will keep a register of the points towards Photographer of the Year. At the start of the season in September, each member starts with zero points.
The John Matthews Trophy is presented to the Photographer of the Year at the Annual Exhibition.


7. INTER-CLUB COMPETITIONS - ANNUAL EXHIBITION

These competitions are by invitation to other Photographic Societies/Clubs who are requested to enter six prints and/or six digital images.
Their entries will be shown at the Whitby Club Photographic Society Annual Exhibition.

7.1 Brook Trophy - Inter-Club Print Competition

Societies/Clubs enter a panel of six mounted prints (monochrome and / or colour) which will be judged as a panel. (Open subject). The panel should be given a “theme title”.

Each print will be judged with a maximum of 10 points. In addition a further maximum of 10 points will be given for the “theme”, giving a maximum of 70 points for the panel. The panel with the highest number of points will win the Brook Trophy.

All prints must be by members of the Society/Club, with a maximum of two (2) prints by any individual member.

All mounted prints should conform to the following specifications:-
a) Maximum print and mount size 50 x 40cm.
b) Mounts must be marked with the following information on the reverse:-
Name of Society/Club
Author’s name - Please indicate distinctions (e.g. LRPS)
Print title
Print Number (from 1 to 6)

Prints entered as part of a panel in any previous Whitby Club Photographic Society Annual Exhibition (formerly Shell P.S.) will not be accepted.

All work with the exception of the original exposure may be by Trade processing.

The six mounted prints will be displayed in two rows of three prints.
The top row will be prints 1,2 and 3 from left to right.
The bottom row will be prints 4,5 and 6 from left to right.

Each print must be numbered from 1 to 6 to allow correct display.

The winning Society/Club must return the trophy to the Whitby Club Photographic Society Exhibition Secretary before 28th February in the year following the award.

No entry fee is required, however competing Societies/Clubs are expected to provide suitable packaging and labels for the return of their entry.

PLEASE NOTE:- While every care will be taken of entrants prints, regretfully no responsibility for any loss or damage can be accepted by the Whitby Club Photographic Society.

Submission of a panel signifies acceptance of the above rules and conditions.

7.2 Marsden Cup - Inter-Club Digital Competition

Societies/Clubs may enter a set of six Projected Digital Images (monochrome and / or colour) which will be judged as a set. (Open subject). The set should be given a “theme title”.

Each image will be judged with a maximum of 10 points. In addition a further maximum of 10 points will be given for the “theme”, giving a maximum of 70 points for the set. The set with the highest number of points will win the Marsden Cup.

All images must be the work of Society/Club members, with a maximum of two (2) images by an individual member. Images must be in jpeg format with maximum 1400 pixels wide by 1050 pixels high. Colour space should be sRGB.

The following information should be made known for each image:-
Name of Society/Club
Authors name - please indicate distinctions (e.g. LRPS CPAGB)
Images may be titled or untitled.
Image number (from 1 to 6).
Images will be projected in the numbered order from 1 to 6.

Images entered as part of a panel in any previous Whitby Club Photographic Society Annual Exhibition (formerly Shell P.S.) will not be accepted.


The winning Society/Club must return the trophy to the Whitby Club Photographic Society Exhibition Secretary before 28th February in the year following the award.

No entry fee is required, however competing Societies/Clubs are expected to provide suitable packaging and labels for the return of their entry.

Submission of a set of images signifies acceptance of the above rules and conditions.

8. SELECTION OF MEMBERS WORK FOR INTER-CLUB COMPETITIONS

The Whitby Club Photographic Society Committee reserve the right to retain, for a period of eighteen (18) months, any prints, slides or digital images which members submit to the Annual Competition. These retained prints/slides/digital images are only to be used as entries to the L&CPU Annual Competition and any Inter-Club Competition or Exhibition that the Whitby Club Photographic Society may choose to enter.

L&CPU Annual Competition:
-- The Committee select various entries from our Annual Exhibition to send to the L&CPU Annual Competition at the end of April each year. However, each member has the right to request which of his / her entries are submitted. Please note that all entries must be submitted via the club. Each member should discuss with the Competition Secretary, immediately following the Annual Exhibition, any specific requests. Please note that for print entries to the L&CPU Annual Competition, the mount size must be 50cm by 40cm.


While every care will be taken of all prints and slides entered in any Whitby Club Photographic Society Competition or Exhibition, or in any Inter-Club Competition or Exhibition, regretfully no responsibility can be accepted by the Committee for any loss or damage.

APPENDIX ‘A’

MOUNTING OF SLIDES

The identification procedure for Slides should be as illustrated in the diagrams below:-


LANDSCAPE MODE PORTRAIT MODE



With the slides viewed directly (i.e. image right way round and right way up) the coloured spot should be located on the bottom left corner. The slide title label should then be located alongside the spot but inverted so that it is visible when the slides are located in the slide magazine for projection.
The member’s competition number should also appear on the mount. (The member’s competition number is a unique number given to each member. This identifies each member for the Competition Secretary, but hides the member’s name from external judges). For slide portfolios and some slide competitions, you may be asked to write your name rather than your member’s competition number on the slide mount. It is also useful to put the name and date of the competition that the slide is being entered into.

The titles etc. may be written on the mount in indelible ink, however it is preferable that adhesive slide labels are used. Caution must be taken when using adhesive labels to ensure that they are firmly fixed, as insecure labels may come loose while the slide is in the projector (slides become warm in the projector and this can loosen the glue on some adhesive labels).

APPENDIX “B”

Entries for competitions.

What is an “entry” into a Portfolio /Competition / Annual Competition ?

An Entry is either
A monochrome print on a mount board
A colour print on a mount board
A slide in a 2” x 2” mount
A digital image on a CD/DVD/memory storage device

For print Portfolios and print Competitions, the allowable size of the mount board may vary. For slide competitions the mount is always 2” x 2”.

How many times may I enter the same mounted slide ?

A maximum of twice (provided it is entered in the following order);
The mounted slide may be entered into a slide Portfolio (but the same slide, or an identical copy, or any significantly similar to it, cannot be entered into any other slide Portfolio, in the same or subsequent years).
The same mounted slide may then be entered into a slide section of an Annual Competition (but the same slide, or an identical copy, or any significantly similar to it, cannot be entered into any other slide section of an Annual Competition, in the same or subsequent years).

If the mounted slide is first entered into a slide section of an Annual Competition, it cannot then be entered into a slide Portfolio.

How many times may I enter the same mounted print ?

A mounted print on an A4 mount board can only be entered once into a Portfolio. (The same mounted print is not eligible for other Competitions because the mount board is too small).
A mounted print with a (larger) mount board suitable for a Competition, can be entered twice. Firstly into a print section of a Competition, and then into a print section of an Annual Competition (provided it is entered in this order).
The above applies to a print, to an identical print, and to a significantly similar print.


How many times may I use the same image for an entry ?

A slide taken in camera can be used in a slide portfolio and then as a slide entry in the Annual Competition. The same slide can be scanned into a computer. This image can then be printed as a mono print, and as a colour print and used as a Projected Digital Image.
The Mono Print can be entered in a Mono Print portfolio, a Mono Print competition and in a Mono Print Annual Competition.
The Colour Print can be entered in a Colour Print portfolio, a Colour Print competition and in a Colour Print Annual Competition.
The Projected Digital Image can be entered in a Projected Digital Image portfolio, a Projected Digital Image competition and in a Projected Digital Image Annual Competition.
The same image can therefore be used several times.
